All India Car Rentals: How a National Operator Association Put 300+ Members on Its Own App
The short version
All India Car Rentals is a new national body for car rental and tourist-taxi operators. It needed to sign up operators from many cities quickly, verify who they are, collect the joining fee and give each member something official: a numbered certificate with the association’s legal name and CIN.
Instead of a generic society app, AICR runs its own branded app on Associan. In the first 60 days, 312 operators were approved, each with a PDF certificate and a QR member pass on their phone.
The problem: operators are not flats
Housing society software assumes a building, a flat number and a monthly bill. An operator association needs something different:
- KYC from strangers: firm name, operator category, fleet size, vehicle numbers, RC and Aadhaar, from people the committee has never met.
- Different membership types with different joining and renewal fees, which the committee wanted to change without calling a developer.
- Proof of membership operators can show to clients, hotels and authorities.
- Chapter meets where the committee needs to know who actually attended, not who said they would.
Before Associan, this ran on a Google Form, bank transfer screenshots, a WhatsApp group and certificates typed in Word one by one.

What we set up
- White-label app. AICR logo, “All India Car Rentals” and the CIN on login, certificates, receipts and email footers. Members never see a vendor brand. (Why that matters: white-label vs generic society apps.)
- Public signup with KYC. Operators apply from their phone with firm details, operator category, fleet and vehicle documents. Login ID is their phone number.
- Membership types the committee edits. Name, duration, joining fee and renewal fee are set in admin, not hardcoded. Operator categories are editable too.
- Pay before approval. AICR chose to collect the fee first, so the secretariat only reviews paid applications. This is a setting; other associations can approve first. More in how operator associations collect fees.
- Certificates on approval. A PDF with legal name, CIN, membership number and validity, downloadable the same day. See digital membership certificates.
- QR member pass. At chapter meets a volunteer scans the member’s phone. Attendance is tied to an active membership. Details in QR check-in: scan the member, not the hall.
- Directory and message board. Approved operators find each other for inter-city work, and the committee posts updates in one place.

What other associations can copy
- Decide fee timing early. Pay-before-approval cuts out applications that never complete.
- Put your legal name and CIN on everything. Members trust a certificate that matches the registration.
- Scan the member, not the venue. A poster QR proves someone was near the wall; a member pass proves who attended.
- Keep membership types editable. Your fee structure will change in year two.
