QR Check-in for Association Events: Scan the Member, Not the Hall

A QR printed on the AGM banner looks modern. It is also the wrong design. Anyone with the poster can “check in”. Your attendance list then includes people who were never in the room — and misses paid members who queued at a paper register.

For operator associations, trade bodies and chambers, the reliable model is simple: each member carries a unique pass on their phone. Staff scan that pass.

Poster QR vs member pass

If your event is for members only (chapter meet, AGM, permit workshop), scan the member. If it is a public expo, a ticket QR is fine — still not a shared poster.

How a chapter meet should run

  1. Secretariat publishes the event (date, venue, type: chapter / AGM / committee).
  2. Operators open the PWA and show Entry pass.
  3. Volunteers on the door use the event camera (phone is enough).
  4. Scan → present / already scanned. No clipboard.
  5. After the meet, officers export absentees and follow up.
