The State Chapter Events Playbook for Indian Associations
National associations live or die by their chapters. The state meet is where members actually meet the committee, raise issues and decide whether the membership fee is worth it. Yet most chapter events are run with a WhatsApp poll, a paper sign-in sheet and a vague headcount.
This playbook covers the four weeks before, the day itself, and the week after.
Four weeks before: plan
- Fix date, venue and capacity. Capacity drives everything else.
- Decide who is invited. All active members of the chapter? Committee only? Guests allowed?
- Decide the fee, if any, and whether members pay online in advance.
- Assign roles: chapter lead, two gate volunteers per 100 expected attendees, one person on the guest desk.
Three weeks before: invite
- Create the event once, and invite active chapter members from the register, not from a WhatsApp group that includes ex-members.
- Send the invite in the app with a short WhatsApp nudge that links to it.
- Ask for RSVP. You will use the RSVP count for catering, and the check-in count for the report.
One week before: confirm
- Reminder to RSVPs, with the venue map and agenda.
- Reminder that entry is by member pass in the app. Members whose membership has expired get a renewal link, often the most effective renewal drive of the year.
- Test the scanner phones with the volunteers.

On the day: scan the member, not the hall
Each member opens their QR pass. The volunteer scans the member’s phone. The scan confirms the membership is active and records attendance with a timestamp. Read more in why you should scan the member, not a poster.
- Keep one line per volunteer. A scan takes a few seconds.
- Expired members go to the guest desk, where they can renew on the spot.
- Non-members are recorded as guests, separately.
At its first chapter meet, All India Car Rentals recorded 210 member check-ins this way, with a live list for the committee during the event.
The week after: report and follow up

- Share minutes and decisions with all chapter members, not just attendees.
- Send guests a joining link within 48 hours.
- Send no-shows the minutes, and a gentle nudge for next time.
