How to Issue a Digital Membership Certificate in India

Operators and trade members still ask for “the certificate.” Couriered Word files, WhatsApp JPEGs and seals pasted in Paint do not survive a client check. A proper certificate is a PDF generated from the live member record — same number, same validity, same legal name as the register.

What belongs on the page

If the PDF can be issued while status is still “pending KYC,” it is not a certificate. It is a draft.

Who may download it

  1. The member — from their portal, after they are active.
  2. The secretariat — from the member file, same PDF, for post or disputes.

Do not email a shared Drive folder of 400 certificates. Numbers drift. The source of truth is the member row.

When it should regenerate

After renewal, validity dates change. The next download must show the new end date. After a name or firm correction, reprint. After expiry or suspension, download should stop (or watermark as expired — pick one rule and keep it).

You can still print for the AGM. The file that matters is the PDF on the phone. Clients of a car rental operator will ask for it on WhatsApp at 9pm. Courier cannot compete.

FAQ

Is a screenshot of the portal enough?
No. Issue a titled PDF with CIN and membership number so it can be forwarded without your login screen in the crop.
Do RWAs need this?
Some societies issue ID cards. Trade and operator bodies almost always need a formal certificate. Housing societies can skip it if bylaws do not require one.
