Apartment Association Management Software: 2026 Buyer’s Checklist
Your committee has agreed it is time to stop running the society on Excel and WhatsApp. Now you are comparing apps, and every demo looks the same: a dashboard, a payment button, a notice board.
The differences show up three months later, when the treasurer cannot export the ledger, residents ignore the app, or the WhatsApp add-on turns out to cost extra. This checklist helps the chairman, secretary and treasurer ask the right questions before you sign.
First: gate app or committee software?
Many “society apps” in India started as gate security apps: visitor entry, guard approval, delivery logs. That is useful, but it is not the committee’s problem. The committee’s problem is money, notices, complaints and records.
Decide which one you are buying. If your biggest pain is “who has paid and where is the receipt,” you need association management software first. You can always add gate management later.
The 15-point checklist
Money (treasurer)
- Flexible bill heads. Maintenance, sinking fund, water, parking, late fee; per flat, per bungalow or per square foot.
- UPI on every bill. One tap from the resident’s phone, not a bank account number to copy.
- Automatic numbered receipts. Issued the moment a payment lands. Cash and cheque recorded in the same register.
- Defaulter list and reminders. Aging (30/60/90 days) and automatic reminders, so no one calls a neighbour.
- Audit-ready exports. Member ledger, receipts and expenses in Excel/PDF for the auditor.
Communication (secretary)
- Notice board with read status. You should see which homes have opened a notice.
- WhatsApp delivery included. Ask how many messages are included and what extra messages cost.
- Member register. Owner, tenant, family, vehicles, emergency contact; easy to update when a flat changes hands.
- Meetings and AGM. Notice, attendance and minutes saved together. See our AGM checklist.
Operations (chairman)
- Complaint tracking. Photo, owner, status and closure date for every ticket.
- One-screen dashboard. Collected, pending, open complaints, without opening three reports.
- Role-based access. Treasurer sees money, residents see their own ledger, committee changes cleanly each year.
Vendor (everyone)
- Real onboarding. Will they import your Excel and opening balances for free, or charge a setup fee?
- Data export and exit. Can you take all your data if you leave? Get the answer in writing.
- Total yearly cost. Plan price plus per-flat fees, WhatsApp packs, SMS credits and gateway charges.

- “What happens to our data if we stop paying?”
- “Who imports our existing Excel, and how long does it take?”
If a vendor cannot show you a full payment-to-receipt flow in the demo, it will not be smooth for your residents either.
What it looks like in practice
Manthan Greens, a 30-bungalow society in Ahmedabad, went live in one day from its Excel sheet. After three billing cycles, 28 of 30 homes were paying on time (up from 19), and the treasurer’s monthly work fell from about 10 hours to under 2.
