Why Excel Sheets Fail for Society Management
Almost every Indian apartment association starts the same way: a kind-hearted Treasurer creates an Excel sheet. It works for a year. It might even work for two. Then the cracks appear — and they’re always more expensive than people think.
Here are the five hidden costs of running a 100+ flat society on Excel.
1. The “version 4 final” problem
Multiple committee members edit the same file. Someone emails “Maintenance_April_v3.xlsx”. Someone else emails “Copy of Copy of Maintenance.xlsx”. By June, nobody knows which sheet is the real one.
The cost: missed payments, double-charged residents, angry committee meetings.
2. No audit trail
Excel doesn’t remember who changed what, or when. If a row gets deleted (intentionally or by accident), there’s no easy way to recover it. Auditors hate this — and so do honest committees who want to defend themselves against doubt.

3. Reconciliation hell
Bank deposits don’t magically map to maintenance entries. UPI receipts pile up in WhatsApp screenshots. Cheques bounce, but only the Treasurer knows. Reconciliation becomes a 3-day exercise every quarter.
4. Zero member transparency
Residents can’t see their own ledger. They have to ask the Treasurer over WhatsApp every time they want to know if last month’s cheque cleared. Trust erodes — slowly, then suddenly.
5. The handover disaster
Every committee changes. When the old Treasurer hands over to the new one, you get: 47 Excel files, 6 WhatsApp groups, an unlabelled USB stick, and a phone number for the accountant. The new Treasurer spends the first month just trying to understand what they inherited.
The modern alternative
In 2026, modern association management software like Associan replaces all of this with a single platform — members, ledgers, bills, payments, complaints and reports — with audit logs, role-based access and one-click exports.
The migration is faster than committees expect. Most go live in 1 day, with full data import handled by the vendor’s onboarding team.
When Excel is still OK
For very small associations (under 25 members) with simple flat-rate maintenance, Excel can survive — barely. Past that, the math stops working.
