UPI and Razorpay Receipts: A Guide for Association Treasurers
Ask any association treasurer what takes the most time, and the answer is rarely “collecting money”. It is proving who paid what: matching UPI screenshots to the bank statement, writing receipts, and answering “did you get my payment?”
This guide covers how to set up online collection so the receipt, the ledger and the bank all agree without manual work.

For very small groups, a UPI QR is fine. Once you have more than about 30 payers, the hours saved on matching usually outweigh the gateway fee.
What a proper receipt contains
- Association’s legal name and registration details (for companies, the CIN; see CIN on member-facing PDFs)
- Receipt number from a single series for the financial year
- Member name and membership or flat number
- Amount, date, payment mode and transaction reference
- What it was for: maintenance for October, annual membership 2026–27, event fee
The flow that removes manual work
- A bill or dues entry exists first (maintenance, membership renewal, event fee).
- The member pays from the bill link by UPI, card or net banking.
- The gateway confirms the payment, and the system marks the bill paid.
- A numbered PDF receipt is issued and the member can download it.
- The ledger updates, and the defaulter list shrinks on its own.
- At settlement, the treasurer matches the gateway’s settlement report to the bank credit, once, not per payment.

Month-end reconciliation in 15 minutes
- Export the month’s online receipts.
- Compare the total with the gateway’s settlement report (minus fees).
- Match settlements to bank credits.
- Check cash and cheque entries against the deposit slips.
- Any refunds or failed payments: note them against the original receipt.

Rules that keep the auditor happy
- One receipt series per financial year. No gaps, no reuse.
- Cancel, don’t delete. A cancelled receipt stays in the register with a reason.
- Cash gets a receipt too, issued from the same system.
- Fee and tax treatment (GST on membership fees, for example) varies by association. Confirm with your CA.
If a member can’t download their own receipt, the treasurer will be asked for it, at 10 pm, on WhatsApp.
FAQ
Is a UPI screenshot a valid receipt?
No. A screenshot proves the member sent money, not that the association received and recorded it. A receipt should carry your association name, a receipt number, the member, the amount, the date and what it was for.
What does Razorpay charge?
Gateway charges depend on your plan and payment method, and change from time to time. Check the current rates on your Razorpay dashboard. Many associations absorb the fee; some add a small convenience charge.
How should receipt numbers be formatted?
Use one series per financial year, for example RCPT/2026-27/0001. Never reuse or skip numbers. Cancelled receipts should be marked cancelled, not deleted.
Can cash and cheque payments go in the same register?
Yes, and they should. The treasurer records them manually, and the system issues the same numbered receipt, so the ledger is complete.
